Refund & Cancellation Policy

At ABACUS HVAC SOLUTION, we strive to deliver reliable, high-quality HVAC services. As our work involves scheduled labor
and custom-ordered equipment, the following Refund & Cancellation Policy applies to all customers.

1. Equipment Purchases & Installations

  • Order Cancellation: If an installation is cancelled after equipment has been ordered but before installation, a 15–20% restocking fee will apply. This fee covers manufacturer handling, shipping, and administrative costs.
  • Installed Equipment: Once an air conditioning unit has been installed and commissioned, it is non-returnable and non-refundable. Any performance or operational concerns will be addressed under the applicable Manufacturer’s Warranty and our Workmanship Warranty.
  • Special Orders: Custom-ordered, made-to-order, or non-stock equipment and parts are non-refundable once the order is placed.

2. Service & Repair Appointments

  • Cancellation Notice: A minimum of 24 hours’ notice is required to cancel or reschedule any service or repair appointment.
  • Late Cancellation / No Access: Cancellations made with less than 24 hours’ notice, no-shows, or instances where technicians are unable to access the property will incur a Trip Charge and/or Diagnostic Fee.
  • Diagnostic Fees: Diagnostic and inspection fees are non-refundable, as they cover technician time, expertise, and travel.

3. Maintenance Contracts (AMCs)

  • Annual Contracts: Pre-paid Annual Maintenance Contracts may be cancelled, subject to a pro-rated refund for unused services, minus an administrative processing fee.
  • Completed Visits: Any maintenance visits already completed will be charged at the standard service rate and deducted from the refundable balance.

4. Refund Process

  • Request Submission: All refund requests must be submitted in writing to abacushvac22@gmail.com.
  • Approval Timeline: Approved refunds will be processed within 7–10 business days.
  • Refund Method: Refunds will be issued via the original payment method (credit/debit card, cheque, or bank transfer).

5. Labor & Workmanship

Labor charges are generally non-refundable. However, if a customer is dissatisfied with the quality of workmanship, ABACUS HVAC SOLUTION will revisit the site and rectify the issue at no additional cost within [30 / 60 / 90] days of service completion, subject to warranty terms.
